When talking about the lifespan of technology, the software used to track memberships and admissions at the Carroll Rec Center is a bit of a dinosaur at 15 years old. Parks and Recreation Director, Jack Wardell, said that the staff got together to create a list of features that would be desirable in a replacement system. At the top of the wish list was online registration—an option that would have a positive impact on staffing.
The new programs are a one-stop-shop, where everything is compiled into an easy-to-use system. The staff reviewed seven software possibilities and then narrowed it down to two, Perfect Mind and RecTrac. These were the only two with all requested features and the ability to add golf course memberships and t-times. Wardell said, ultimately, they have determined that Perfect Mind, with their goal of doing all tasks in three clicks or less, is the company they would like to utilize for their new system. City Council members had a lot of questions about the capabilities, and Clay Haley had to speak up about the one surprising aspect of the change-over, the cost.
The cost for implementation of the software is $27,750 with an annual subscription rate of $19,040 in a five-year contract. The first year total would be $46,790. After assurances that this would make sign-up for programs easier for Rec users as well as provide membership management tools and online payment options, the council approved the purchase. The ability to physically sign up for programs and make payments at the Rec Center remains, and the discount rate promotions for early registration will also remain available in-person or online.
